We are looking for a Workplace Experience Specialist to cover a 12-month parental leave and take our workplace culture to the next level. Our aim is for you to start in September.

About the job 

As a Workplace Experience Specialist at Telavox, you’ll ensure our HQ and offices reflect our culture: collaborative, dynamic, and full of energy. Your mission? Make sure every Telavoxer has a seamless, inspiring workplace experience, whether it’s organizing everyday needs, planning major office moves, or managing events.

You’ll also be the key point of contact for our exciting relocation to Gjuteriet in 2025, leading the charge on our “Great New Home” project.

A typical day in this role involves:

• Acting as the go-to person for all workplace-related needs in Malmö and our global offices

• Managing daily office operations—from ordering supplies and snacks to ensuring physical workspace safety and comfort

• Owning the office experience concept: creating a consistent, inspiring workplace vibe

• Supporting and coordinating company-wide internal events that build culture and connection

• Leading vendor relationships (cleaning, fruit delivery, maintenance, etc.) and ensuring service quality

• Managing workplace budgets, tracking expenses, and ensuring cost-effective decisions

• Have a central role in our office relocation project, overseeing timelines, vendors, and execution.

This role is based in our Malmö HQ, where you'll be part of our vibrant HR team. We're fun, warm, and driven by purpose—and we can't wait to welcome someone who shares our mindset.

About you

You are a proactive, organized, and solutions-focused professional who enjoys making things run smoothly and beautifully. You love creating structure, spotting what’s missing, and making it better, whether that’s a process, a party, or a space. You’re also a strong communicator and team player who’s excited about being the engine behind a thriving office culture.

Competencies

• Experience managing office operations or facilities, preferably in a fast-paced or global setting

• Experience of running workplace-related projects (e.g. office relocations or redesigns

• Budget handling and vendor coordination experience

• Strong organizational and communication skills

• Attention to detail and the ability to juggle many tasks at once

• Fluency in English and Swedish

• A valid driver’s license
